Poland – document instructions
Poland has two important document-format rules:

Birth certificates

  • For birth certificates issued in Poland, you must submit a full 2-sided copy (front and back).
    Even if the back appears blank, IRCC requires the complete two-page copy.

Marriage certificates 
If the marriage was solemnized in Poland, you must provide a full 2-sided copy of the civil marriage certificate issued by the Urząd Stanu Cywilnego (Civil Registry Office).

A church marriage certificate is not accepted as legal proof of marriage.

Translations
Most Polish civil documents are in Polish, so you will need certified translations for any document not in English or French.

Submit:

  • the original (or required full 2-sided copy), and
  • a certified translation meeting IRCC requirements

Ensure names, dates, and document numbers match exactly between the original and translation to avoid clarification requests.

Biometrics
Biometrics are not Poland-specific, but applicants often misunderstand the process.

After you submit your application, IRCC will issue a Biometrics Instruction Letter (BIL).

You must wait for that letter—you cannot provide biometrics in advance.

Even with relatively simple requirements, Poland applications are often delayed because applicants:

  • submit only the front side of a Polish birth or marriage certificate
  • upload a Polish church marriage record instead of the required civil marriage certificate
